How to Talk to Your Administration About Purchasing New Uniforms
Purchasing new uniforms is a significant investment and often requires approval from school administrators, finance departments, or school board members. Being prepared to discuss your program's needs, budget, payment options, long-term value, and ongoing support can help make the approval process smoother and more successful.
To help you prepare, we've compiled answers to many of the questions administrators commonly ask when evaluating a uniform purchase. Use this guide to build confidence, communicate the value of your investment, and address common topics such as budgeting, procurement, warranties, delivery timelines, and long-term program support.
DeMoulin understands that uniform purchases are often planned across multiple budget cycles. In many cases, payment options can be structured to align with fiscal year planning, allowing costs to be distributed across more than one budget year (for example, FY 26–27 and FY 27–28).
This approach can help programs manage approval processes, align with district budgeting timelines, and make larger purchases more manageable within annual funding constraints.
If the school district is purchasing through a purchase order, the purchase order must be provided at the time the order is placed. Payment is not due until the uniforms have been completed and delivered to the school. Unless otherwise agreed upon in writing, all invoices are due Net 30, with payment required within 30 days of the invoice date.
Yes. Booster organizations can play an important role in supporting uniform purchases, and several flexible options are available depending on district requirements and payment structure.
In many cases, boosters can contribute funds directly to the school or district, allowing the district to issue a single purchase order for the full uniform order amount.
If boosters prefer to manage payment independently, they may also place the order directly by providing a one-third deposit, with the remaining balance due prior to shipment.
These options allow schools and booster organizations to coordinate effectively and tailor the payment approach to best fit their fundraising and budgeting processes.
DeMoulin offers a 3% discount on custom band uniforms when the entire invoice is paid upfront by check or electronic funds transfer (EFT).
DeMoulin also offers quantity-based discounts for qualifying orders. Please contact your Regional Sales Manager to discuss the available quantity break levels and determine the pricing structure that best fits your program's needs.
DeMoulin offers two warranty options for custom-manufactured garments:
Limited Lifetime Warranty for custom garments that are dry clean only10-Year Limited Warranty for custom garments that are machine washable

Because all uniforms are custom-made to match the original design, it is important to plan ahead whenever possible. Current production timelines average approximately 150–210 days, so early communication helps ensure on-time delivery for performances and seasonal needs.
Please note that smaller-quantity reorder items will typically have a higher per-unit cost than the original order, due to reduced quantity discount tiers that apply to larger production runs.
